Christian Surfers UK – Administrator (part time)

Here at Christian Surfers UK, we love our faith, relationship with God, and our surfing communities. Christian Surfers is a mission organisation that has been active in the UK surfing community for over 30 years, and our vision is quite simple: ‘That every surfer and every surfing community has an opportunity to know and follow Christ.’ That aim is carried out through a host of activities including local groups, serving at high profile and local surf competitions, as well as our own outreach surf competitions and national gatherings. At the core of the organisation are our local groups connecting those with faith, those who surf, and with an eagerness to partner with local churches.

Your role  

Background  

Currently the administrator reports to a full-time volunteer national director. At the end of September 2024 our current administrator will be leaving their post after 10 years in the role and additionally, in summer 2025, the current national director will be stepping down after 32 years in their role. As such, we are looking to hire a new administrator who will work alongside the current national director, with an understanding that there will be a new national director after summer 2025. We wish for the candidate to spend time with our current administrator until the end of September to be confident in using our current systems. Currently the national director is based near Bristol with the current administrator in Devon. We wish to offer the role to applicants across the UK, but a large proportion of the events and trustees are based in the South West, and face to face meetings may be required in this area throughout each year.  

The opportunity  

As a result of the current administrator stepping down and opportunities within the charity’s mission, the charity’s Board of Trustees wishes to appoint a part-time administrator to deal with the activities of this mission’s organisation. 

The opportunity is for a part time administrator, which we expect to be for 16hrs a week initially, but there is potential for this to grow. We are happy to discuss and accommodate flexible working, but core hours would need to be agreed for a handover period from the current administrator.  

You will be sympathetic to the mission and purpose of Christian Surfers UK; a self-starter who is organised, methodical, and has an eye for detail. You will work closely with the national director but will also be able to work alone in their absence. The post holder will be expected to prioritise their own workload without daily supervision and will take day-to-day decisions within agreed parameters.   

Hours of work:  16 hours a week. (Open to negotiation and flexibility to suit the right candidate.) 

Pay: £12 per hour, initially on a self employed basis

Location: Remote working with some in-person meetings, largely IT based

This post requires a criminal background check via the Disclosure Procedure 

In accordance with Schedule 9 of the Equality Act 2010, there is a Genuine Occupational Requirement for the successful candidate to be a committed Christian, which would mean regular fellowship within a Christian community eg church or home church group.  

The role responsibilities and duties:

  • Responding to incoming and outgoing emails as first point of contact 
  • Maintaining membership database (Church Suite), membership  
    support and communication 
  • Organising membership/supporter engagement mailings 
  • Administrative support of events organisation, including liaising with volunteers 
  • Drafting and editing communications using Mailchimp 
  • Attending meetings (usually online), including regular staff meetings, taking and circulating minutes where necessary, and monitoring completion of matters arising 
  • Being available for weekend events with travel, catering and accommodation expenses being covered with a set rate of pay for the event. A desired requirement would be our three key annual events – Jesus Longboard Classic, National Gathering, Jesus Surf Classic. 
  • Setting and monitoring of tasks/projects 
  • Supporting the national director administratively, including copy editing and proofreading of written material 
  • Liaising with CSUK local leaders and contacts and supporting them administratively 
  • Uploading content to the website and keeping it up to date 
  • Maintaining and sharing diary with CSUK leadership team 
  • Online shop: order dispatch, paperwork, and maintenance of stock levels  
  • Maintaining the office ie ordering stationery, filing 

The post holder may be required to perform duties other than those given above.  These may vary from time to time without changing the general level of responsibility.  Some items may include but not limited to: researching opportunities for grant applications, media liaison, twice yearly magazine compilation. 
 

Required skills:  

  • Self-starter with motivation to succeed 
  • Interpersonal – the ability to relate to people and build strong relationships over time, and a good team player 
  • Good communication skills, both written and spoken 
  • Good organisational skills – able to keep to timeframes and a tidy workspace for file sharing 
  • Excellent attention to detail 
  • Ability to multi-task and show flexibility 
  • Knowledge and experience of using Microsoft Word, Excel, Powerpoint and Microsoft Outlook, and ability to learn new systems ie Church Suite, Mailchimp, Google Drive, Microsoft Teams and Eventbrite or similar . Our website is on a WordPress platform so some knowledge in this would be good, but full training can be given. 
  • Confidentiality and security of information are vitally important aspects of the work, along with a good understanding of GDPR considerations. 
  • Ability to take accurate minutes 
  • Good understanding of English grammar  
  • Ability to follow up tasks allocated to yourself and others, and monitor progress
